Using the Digital Pen for BPM data can be captured from a variety of forms
for example reports,
service sheets, timesheets, site notes, health + safety forms and action lists. The data collected in the field can then be sent back to the office
via a mobile phone! No waiting for the post and risking forms being delayed or lost.
Constant improvements in a company’s speed of response are critical in today’s commercial
environment. Businesses can expect a rapid upturn in the speed of cashflow, with
order process times also significantly improved. For an instant response within
a time-pressured situation, the Digital Pen for BPM is perfect.
A key component of the system is the Digital Pen, which
looks and works just like an ordinary ballpoint, but captures handwriting and drawings
from paper forms and notes. This data is transferred instantly via
GPRS using a mobile phone. The data transferred via the mobile phone is automatically
uploaded onto the customised solution that is built using Metastorm BPM, allowing
the whole process to be automated the moment pen touches paper.
The Digital Pen for BPM enables managers to have
a lot more control over their staff. Automatic feedback messages
ensure forms are completed correctly, whilst start and finish times
are recorded to allow for enhanced monitoring of performance.
The improved quality and immediate transference of data has allowed AuraQ to radically
cut the procedure lifecycle and reduce the need for data entry by support teams.
Suitable for both large and small companies, Digital Pen for Metastorm
BPM can help improve productivity and quality while in turn reducing cost.
No longer do organisations have to wait for paper forms to be sent by post
into the office before they can be processed.
The digital pen enables the data entered on a paper form to be sent to
the office for processing within a few seconds of completion.
Example
In the field:
1. The paper form is completed in the normal way - it is the paper form staff
are used to.
2. On completion of the form a box is ticked which sends the data via mobile phone to the BPM system.
3. The sender is informed by text message if any mandatory fields have not been
completed.
4. Once complete the sender is informed that the form has been accepted and that
they can leave the customer site.
In the office:
1. The new form arrives on the Metastorm BPM To Do List ready for processing.
2. The data extracted from the form is compared with the original image and edited
if required.
3. The BPM form is submitted and the bespoke BPM process continues.
Convenience: Digital Pen & Paper is very portable and easy to use in a site environment.
Quality: instant feedback during the send process ensures that all required data is collected before leaving site. The instant response also means that engineers must complete forms correctly before leaving.
Efficiency: the integrated system eliminates data re-keying and avoids the need for scanning or filing.
Audit: the instant availability and BPM processing is extremely useful for handling customer queries, reviewing quality and discussing technical issues with engineers whilst they are still on site.
There are other digital pen solutions on the market today.
There are reasons that our solution offers true enterprise standard reliability unmatched by any other vendor. These are some of the reasons why you
should choose the AuraQ solution:
1. Our solution is the only one which is Metastorm accredited and fully integrated
with Metastorm BPM to gain further advantages from the use of this technology through
managing back end processing.
2. Every form has unique
pattern, eliminating the chances of form overwriting and duplication.
3. Every Pen
has a unique ID.
4. Pens are registered to servers and can only communicate with
that “trusted” server.
5. Forms can only be filled by pre-authorised, “trusted”, pens.
6.
Data from both USB & Bluetooth pens is encrypted by the pen before uploading.
7.
No data is stored on the
mobile phone or locally on the docking PC.
8. Data is only
ever held in the digital pen or on the server application.
9. Every pen contains a
real time clock, every pen stroke is timed.
10. Fraudulent form completion is easily
detected.
11. The servers retain pen stroke files, original images and XML upload files.
12. The system is commonly used in data critical environments – for example: clinical
trials, engineering inspections and financial services.
